How Taxcomplied collects, uses, stores and protects personal information.

In summary: Taxcomplied uses personal information to respond to enquiries, provide agreed tax and accounting services, meet legal and professional obligations, administer coaching and webinars, and improve the website. We do not sell personal information.

1. Who we are

Taxcomplied is a South African tax and accounting practice operated by Sharleen Williams. For purposes of the Protection of Personal Information Act 4 of 2013 (“POPIA”), Taxcomplied is the responsible party for personal information processed through this website and in providing its services.

2. Personal information we collect

Depending on how you interact with us, we may collect:

  • your name, contact details and communication preferences;
  • information submitted through enquiry, coaching or webinar forms;
  • business, employment, residency, travel and financial information you provide when requesting or receiving services;
  • taxpayer, company, trust, payroll and other identifiers where required for an engagement;
  • supporting documents, correspondence and records needed to perform tax, accounting, payroll or compliance work;
  • billing and payment-related information;
  • technical information such as IP address, device, browser, referring page and website interaction data collected through server logs, cookies or analytics tools.

Please do not send identity documents, tax numbers, banking details or confidential financial records through an initial website enquiry unless specifically requested through an appropriate channel.

3. How we collect information

We collect information directly from you when you contact us, complete a form, attend a consultation or webinar, become a client, send documents or communicate with us. We may also receive information from authorised representatives, employers, service providers and public or regulatory bodies where lawful and relevant to an engagement.

4. Why we use personal information

We process personal information where it is adequate, relevant and reasonably necessary to:

  • respond to enquiries and assess whether we can assist;
  • provide, administer and bill for agreed professional services;
  • prepare submissions, returns, registrations, reports, payroll and supporting work;
  • communicate about coaching, webinars or services you requested;
  • verify identity, prevent fraud and maintain accurate records;
  • comply with tax, accounting, professional, regulatory and other legal obligations;
  • establish, exercise or defend legal rights;
  • operate, secure, measure and improve the website and advertising campaigns.

Processing may be based on consent, performance of a contract, compliance with a legal obligation, protection of legitimate interests, or another lawful ground permitted by POPIA. You may withdraw consent where processing relies on consent, but this does not affect processing already performed or information that must be retained by law.

5. Cookies, analytics and advertising

The website may use essential cookies required for security and operation. Where enabled, Google Analytics and Google Ads tools may use cookies or similar technologies to measure visits, understand how visitors use the website, record advertising conversions and help assess campaign performance.

Analytics and advertising providers may receive technical identifiers and interaction information in accordance with their own privacy terms. You can control cookies through the website’s cookie controls, where available, and through your browser or Google advertising settings. Blocking some cookies may affect website functionality. 6. Direct marketing

We will send marketing or webinar communications electronically only where permitted by law. You may opt out at any time using the unsubscribe method provided or by emailing us. Service, deadline and engagement-related communications are not marketing messages.

7. When information may be shared

We may share information only as reasonably necessary with:

  • SARS, CIPC and other public, regulatory or statutory bodies;
  • professional advisers and service providers supporting our work;
  • website hosting, email, cloud storage, accounting, payroll, analytics and related technology providers;
  • law-enforcement bodies, courts or other parties where disclosure is required or permitted by law;
  • a successor or purchaser if the practice or relevant part of it is reorganised or transferred, subject to appropriate safeguards.

Service providers are expected to process information only for authorised purposes and to apply appropriate confidentiality and security measures. Taxcomplied does not sell or rent personal information.

8. Cross-border processing

Some cloud, email, analytics or technology providers may process or store information outside South Africa. Where personal information is transferred across borders, we take reasonable steps to use providers and arrangements that offer an appropriate level of protection as contemplated by POPIA.

9. Retention

Personal information is kept only for as long as reasonably necessary for the purpose collected, the client relationship, professional recordkeeping, dispute resolution, or applicable legal and regulatory requirements. Information is then securely deleted, destroyed or de-identified where appropriate.

10. Security

We use reasonable technical and organisational safeguards designed to protect personal information against loss, unauthorised access, interference, misuse or disclosure. No internet transmission or storage method is completely secure, but suspected security incidents are assessed and handled in accordance with applicable law.

11. Your rights

Subject to POPIA and other applicable law, you may ask whether we hold your personal information and request access, correction or deletion. You may object to certain processing, withdraw consent where applicable, and opt out of direct marketing. Some requests may be limited where information must be retained or processed to meet legal, contractual or professional obligations.
